Office Administrator/Receptionist (Horsham)
Our client is a forward-looking construction company based in the Horsham area West Sussex, with offices in the South East of England, who carry out projects throughout the South East and are planning to expand their operations.
We are looking for an experienced and driven, Administrator / Receptionist to join their team on a permanent, full-time basis. Reporting to HR Manager and Area Manager/s.
Main Duties
Reception and switchboard management; meeting room diary management and set up
Meeting and greeting clients/visitors
Dealing with incoming post and deliveries, and taking outgoing post to the post office when necessary
Filing, photocopying, and record keeping
Taking minutes of meetings, and typing of minutes and other correspondence
Stocktaking and replenishing office stationery and supplies (including food and refreshments)
Data entry
Collating and distributing health and safety plans for new jobs
Logging accident reports
Updating the site inspection tracker and monthly aftercare report
Providing the training centre with occasional administration support (delegate registration, ordering lunch and refreshments, setting up the training room, assistance with paperwork)
General office maintenance management
Adding new jobs to the electronic data management system, ensuring relevant documents can be tracked readily and with ease
Maintaining accurate records and distributing documentation and drawings accordingly
Collating and issuing of operation and maintenance manuals and homeowner packs
Providing accurate and timely information regarding the status of drawings, manuals, method statements, risk assessments, etc.
Qualifications, Skills and Experience
5 GCSE’s (min Grade 4), or equivalent however we would consider experience above qualifications
Experience in a similar role is essential
Driving licence and access to transport is essential
Excellent communication and interpersonal skills
Smart and presentable
Articulate, well-spoken, personable, and able to communicate at all levels
Excellent literacy and computer skills
Strong organisational, multi-tasking and problem-solving skills
Self-motivated with the ability to work alone or within a team
Good attention to detail with the ability to think outside the box
A positive and proactive ‘can do’ attitude with the desire to get involved and make a difference
Flexible approach to work

Benefits:
20 days holiday plus Bank Holidays, part of this allowance will be taken during Industry shutdown (Christmas to New Year)
Additional holiday accrued at 1 day for every two full calendar years’ service, to a maximum of 5 extra days
