Part-Time Receptionist/Administrator

We are looking for a Part Time Receptionist/Administrator to work in our office in Hastings.

  • Flexible working hours

  • Working 5 days a week, Mondays to Fridays, 9.30am to 2.30pm, flexible on start and finish times.

MAIN DUTIES

  • Greet and welcome visitors into the Office, ensuring they sign the Health & Safety Regulations form and informing the relevant member of staff of their arrival.

  • Must have a friendly interaction and communication with customers/clients and co-workers

  • Able to deal with difficult clients and customers, via face to face and telephone

  • Keep a record of visitors signing in and out of the building.

  • Maintain important employee and office records

  • Taking and directing calls via a multi-line inbound telephone switchboard

  • Use a computer efficiently and effectively, especially in Microsoft Excel and Word

  • Strong organizational abilities

  • Data entry skills

  • Scheduling appointments and meeting times and keep Office diary up to date

  • Sorting incoming and outgoing Company correspondences via network/emails

  • Carry out stock takes on stationery and kitchen supplies for Company. Maintain/report on adequate stock levels

  • Process and deliver internal and external mail daily. Check that costs are charged to the appropriate post. Ensure that franking machine is charged and maintained. Record Postage data and post mail daily.

  • Carry out all filling, shredding and scanning to the Company’s GPDR policies

  • Make sure all recruitment information is up to date and paperwork for new applicants

  • Draft, format, and print relevant documents

  • Draft, and format and print relevant Excel and Word documents and ensure all Company existing Office documents are up to date

  • Keep reception area clean and tidy and projects a business-like image.

  • Ensure that the front and rear entrances of the building are clean.

  • Check cleanliness of the interior, making a record of any poor levels of cleanliness or any maintenance issues and take necessary steps/action to remedy

  • Assist fellow co-workers when called upon with administration duties

  • Carry out all reception administration duties


EDUCATION AND EXPERIENCE

  • Good level of education

  • Computer literate in Microsoft Word, PDF and advance in Microsoft Excel

  • Excellent receptionist/administration skills

  • Must be able to work on own initiative

  • Previous experience working in a busy work environment

  • Excellent communication skills
