Customer Care Team Member
Job Description
Main Duties
To
assist the Will drafting team and carry out day to day administrative tasks to
ensure the smooth running of the company.
- Sort all incoming post
- Log all new clients and matters on to the in-house systems
- Chasing clients to return the relevant documentation to complete their Will.
- Keep in-house records up to date and accurate notes following telephone conversations and saving correspondence to file
- Process cheque, credit and debit card payments
- Handle incoming calls from clients and answer the main switchboard number in a timely and polite manner, following data protection procedures, taking detailed messages where necessary and passing them to the appropriate team member.
- Process Wills for storage, both incoming and outgoing including checking Wills for validity and reprinting invalid Wills
- Assisting with general administration tasks, e.g. shredding, outgoing post, document scanning, photocopying, filing
- Recording on client files LPA’s received, scan LPA’s to file, create photocopies of LPA’s and stamp with certify stamp for Will Drafters
- Archive storage, retrieving and returning files to storage and creating new archive files when required
- Processing changes of address, updating client’s files
- Carry out any other reasonable administration tasks as required by management
